description
The Office Administrator provides a high level of administrative support to the Operations department by assisting the Office Manager in overseeing contractors, developing initiatives, and performing maintenance. They will help remove distractions for the staff and support the vision of restoring Christ to counseling and counseling to the church.
responsibilities
- Oversee contract workers such as snow plows, plumbers, masons, landscapers, etc.
- Support the Office Manager in implementing large-scale facility and IT projects
- Oversee relationship with an outside IT firm and ensure helpdesk tickets are resolved
- Work with the Office Manager to schedule and execute planned maintenance
- Support the Director of Operations and Office Manager with special departmental projects
- Maintain office equipment and their contracts
- Facilitate the onboarding and off-boarding process as it pertains to IT and office needs
- Work with the Customer Service Administrator to respond to customer emails and schedule counseling appointments
- Support the Office Manager with onsite events and facilities maintenance as needed
qualifications
- Agreement and support of CCEF’s mission and core beliefs; experience with CCEF’s materials required
- Willingness to engage in candid and constructive conversations about performance evaluation and identify opportunities for growth
- Relevant experience in cultivating relationships with colleagues; adept at contributing to a supportive, team-oriented work environment
- Ability to maintain flexibility and discipline, with strong planning, organizational, and self-management skills
- Demonstrates tact, discretion, and care in all communications; possesses a high comfort level with maintaining confidential information
- Effective written and verbal communication skills
- CCEF coursework preferred
- Bachelor’s degree preferred
- Technological proficiency with experience in Google Suite, Microsoft Word, and Excel required

HR Administrator

The HR Administrator will help CCEF care well for its employees by ensuring legal compliance with HR best practices, and by managing employee benefits, onboarding & offboarding, personnel files, and performance review plans as needed, and by processing annual employee reviews.
responsibilities
- Run payroll bimonthly
- Oversee the budgeting of salaries and benefits with collaboration of the Leadership Team
- Manage employee health insurance, retirement plans, and any required maternity leave, short-term disability situations, etc.
- Oversee onboarding
- Lead or assist with interviews
- Give assessments of interviewed candidates as needed to the employee responsible for hiring
- Coordinate interview scheduling
- Collaborate with appropriate departments to ensure new employees are set up with needed information (e.g., CCEF Handbook) and materials (e.g., computer, email address, office, desk)
- Oversee offboarding
- Do exit interviews
- Collaborate with appropriate departments to ensure all CCEF physical property and digital access is appropriately removed or transferred
- Maintain a personnel file for each employee
- Impartially oversee a process when employees raise concerns about their direct supervisors as outlined in the employee handbook
- Impartially oversee performance review plans as needed
- Administrate the annual employee review process for all employees
- Yearly review the Employee Handbook and collaborate with the directors to suggest and help create policies for CCEF as needed
- Track and summarize what you learn about the health of CCEF’s culture in the course of your work
- Keep the LT informed of key themes and significant data
- Oversee an annual staff survey about CCEF as a workplace that goes to the board
- Legal compliance
- Make sure CCEF is rightly treating employees and contractors according to the law
- Conduct an annual safety training
- Set up CCEF as an employer in new states when we hire employees from those states, and coordinate with finance to ensure we are paying appropriate taxes
- Other specifics as appropriate
- Advise the Executive Director on all matters pertaining to HR, especially legal issues and issues affecting the culture of CCEF
qualifications
- Agreement and enthusiastic support of CCEF’s mission and core beliefs; experience with CCEF’s materials
- Significant experience in HR; experience in Pennsylvania preferred
- Attention to detail
- Able and happy to function with significant independence
- Ability to maintain flexibility and discipline, with strong planning, organizational, and self-management skills
- Willingness to engage in candid and constructive conversations about performance evaluation and identify opportunities for growth

Facilities Assistant (Independent Contractor)

Behind-the-scenes support of the staff of CCEF through maintaining the buildings and grounds and assisting the Operations Manager. This is a project-based position and will follow the labor laws for a 1099 Independent Contractor.
responsibilities
- Event setup and teardown
- Facilities projects (ex. basic wall repair and painting)
- Office furniture building, installation, and rearranging
- Seasonal tending to the grounds (ex. leaf collection and removal, watering flowers, use of lawn maintenance equipment)
qualifications

- Willingness to engage in candid and constructive conversations about performance evaluation and identify opportunities for growth
